Terms of Service
Version 2026.05.02 · Effective 2026
1. Acceptance
By creating an account or using HippoHandover (the “Service”), you agree to these Terms, the Privacy Policy, the Acceptable Use Policy, the Data Processing Notes, and the Compliance Statement. If you act on behalf of a hospital or institution, you confirm you have authority to bind that institution.
2. Eligibility & clinical responsibility
The Service is for credentialed clinicians, residents, fellows, allied health team members, and authorised administrative staff. Clinical decisions remain the user's professional responsibility. The Service is a coordination tool — not a clinical decision support system, not a regulated medical device, and not a substitute for the medical record.
3. Permitted use
- Use the Service only for legitimate clinical handover and team coordination.
- Access only patients within your service membership and active coverage scope.
- Do not screenshot, export, or share patient identifiers outside approved workflows.
- Do not attempt to bypass rate-limits, access controls, audit logging, or the privacy acknowledgement.
- See the Acceptable Use Policy for the complete list.
4. Account security
Use a strong, unique password (minimum 8 characters, at least one letter and one number). Report suspected account compromise immediately to your institution's security office and to security@hippomedicine.com.
5. AI-assisted features
When configured, AI-assisted handover summaries draft text from the patient context already on the user's authorised list. Outputs are clinician-review-required drafts, not finished documentation. You are responsible for verifying every line before sign-out and before any clinical action.
6. Service availability and changes
We aim for high availability but the Service is provided “as is”. We may perform maintenance, deploy updates, or briefly degrade non-critical features. Always have a paper-or-EMR backup workflow available. We will publish material changes to these Terms on this page and update the version. Continued use after a change indicates acceptance.
7. Termination
We may suspend or terminate accounts that violate these Terms, applicable law, or professional standards. You may close your account at any time through your institution administrator or by contacting us.
8. Limitation of liability
To the maximum extent permitted by law, the Service is provided without warranty of fitness for any particular clinical use. We are not liable for clinical outcomes that result from the use or misuse of the Service. Aggregate liability shall not exceed twelve (12) months of fees paid for the Service, if any.
9. Indemnity
You agree to indemnify HippoHandover against claims arising from your misuse of the Service, your breach of these Terms, or your violation of applicable law or professional standards.
10. Governing law
These Terms are governed by the laws of the Province of Manitoba and the federal laws of Canada applicable therein. Disputes shall be brought in the courts of Manitoba.
